Job Description

Position Title: Processing Specialist

FLSA Status:                       Exempt

Position Objective:            Provides processing and front desk expertise for all agency functions.  Serves as backup for Powers family executive assistant.  Assists Account Managers in obtaining, maintaining, expanding and servicing accounts in an accurate and timely manner to exceed client expectations.  Assists Accounting in maintaining records.

Download Processing

1.    Manage daily processing of automated and manual downloads from insurance companies.

2.    Utilize agency management system to clean and document activities.

3.    Review downloads for accuracy and intent.

4.    Communicate concerns/changes to Account Manager and/or VIAA Member.

5.    Process paperwork as assigned by Account Manager.

6.    Provides positive, professional communication with clients, vendors and carriers.

Mail Processing

1.    Open and sort all incoming physical mail.

2.    Direct all physical checks to accounting.

3.    Scan and attach relevant mail in TAM.

4.    Distribute personalized mail throughout the office.

5.    Processes commissions as assigned by Accounting Dept.

6.    Deliver all commercial lines physical mail.

7.    Manage email workload and process incoming documents accordingly.

Front Office

1.    Assists with answering incoming calls to the main office line.

2.    Greets guests and visitors as they arrive.

3.    Handles policy processing situations with client and/or company personnel as needed, including the ordering and checking of binders, renewals, endorsements, cancellations, audits, reporting forms, etc.

4.    Runs outgoing mail to drop-off locations as needed.

5.    Coordinates claims process including taking claim calls and reporting losses to carriers, producers and department personnel.

6.    Handles special projects as assigned.

7.    Establishes/maintains positive working relationship with clients, carriers, vendors and associates throughout the year, processing change requests, updating records, etc. in accordance with established operating procedures.

8.    Watering/maintaining living plants.

9.    Assists with loading and unloading of dishwashers on second and third floors.

10. Attends and participates in staff meetings as needed.

Office Efficiency

1.    Identifies opportunities to more efficiently develop and service accounts while maintaining or improving quality and timeliness.

2.    Coordinates/shares information with POWERS and VIAA personnel as appropriate.

3.    Utilizes and strives to improve the agency management system, its related workflow and interface advances.

4.    Utilizes, organizes and maintains client data in agency automation system and paper files per agency procedures.

5.    Performs other responsibilities and duties as assigned.

Knowledge, Skills and Ability Requirements

1.    Self-starter, professional, empathetic, organized, detailed with follow-through.

2.    Able to handle high level of personal disruption.

3.    Excellent communication and verbal skills.

4.    High school diploma or equivalent is required.

5.    Superior computer skills, particularly Microsoft Office products including Word, Excel, PowerPoint, and Outlook, and the ability to master the agency management system (TAM) are required.
